Job description

The Role

The US Benefits and HR Operations Manager is an essential member of PA’s Global Reward team and US People team (reporting to Head of People, US)  in making sure our employees have access to a competitive and attractive package that supports their physical, mental and financial wellbeing. You will also have a key role in ensuring PA’s benefits comply with relevant laws and regulations, and that our employees are well-informed and educated about their benefits options and value.  Most importantly, you’ll provide strategic insights on benefits plans that meet employees’ needs and present options that enable us to provide an attractive rewards package to candidates.

As part of the Global Reward team, you will also work with HR business partners with salary adjustments and Talent Acquisition with assessing roles relative to rewards package.

As part of the HR Operations team, you will process all leaves and assist the HR group with analysis and reporting on industry trends that support the US People strategy.

You will have a deep understanding of the US benefits landscape and best practices, as well as keep up with trends and developments. You will use your knowledge and experience to design, communicate, implement and administer benefits programs that align with PA’s culture, values, purpose and objectives.  a background in professional services or similar firms. You will also manage aspects of US HR Operations

Key skills for success are communication – spoken and written – at all levels, collaboration to work with multiple stakeholders in the US and Global teams, and meticulous attention to detail to ensure compliance and smooth journeys for our employees.

 

Responsibilities

Reporting to the US Head of HR, you will be responsible for managing PA’s benefits programs and package in the US, advising compensation matters within policy – from oversight and direction of our benefits to the effective administration and communication of them.

Current benefits include PA’s health, dental, life and disability insurances and our 401(k) Plan.

Oversight

  • Actively monitor the market and, in liaison with internal stakeholders including Wellbeing and the US People Partners, recommend and implement improvements to individual benefits and the overall package to maintain desired market positioning and EVP (Employee Value Proposition).
  • Work with the Global Benefits Specialist, wider Global Reward Team and the People Leadership Team to evolve the US benefits strategy and roadmap. Assess and recommend benefits programs to management by studying industry trends and employee needs
  • Present benefit cost options to senior management and prepares reports that gather and summarize benefit plans and costs and savings
  • With the broker(s), monitor and analyse benefit costs, usage and trends, providing regular reports and insights to the Global Reward Manager and other stakeholders.
  • Maintain and update benefits policies and procedures, ensuring overall compliance with the global People strategy, legislation and best practice including completing annual ERISA reporting requirements and ensuring compliance with HIPAA, DOL, IRS, COBRA, FMLA and state requirements.
  • Define and own the annual benefits calendar for the US to ensure all administration and compliance is completed accurately and in a timely manner.

 

Employee Support & Administration

  • Fully manage the annual US enrollment window.
  • Guide and support employees and managers on benefits-related matters such as eligibility, enrolment, claims and tax implications.
  • Organise the implementation and integration of benefits for new hires, acquisitions and business changes in the US.
  • Manage PA’s relationship with providers and broker(s) and liaise with them to resolve any queries or issues that arise.
  • Ensure PA intranet is updated with any changes to benefits and upload current forms

Communication

  • Coordinate and deliver benefit education and communication initiatives such as webinars, in-person sessions and emails.
  • Develop compelling benefits communication collateral in line with the global approach including intranet pages and/or external platforms.
  • Improve employees’ benefits enrolment journey by leading the US workstream of the benefits platform project.

Rewards

  • Propose packages for standard hires, promotions and other changes within the US for review by the Global Reward team.
  • With the Global Reward team, support the US People Partners with compensation queries, notably for year-end reward conversations.
  • Maintain familiarity with global reward programs that operate in the US including bonus, recognition and share schemes.
  • Work closely with Talent Acquisition to present attractive benefits and rewards packages to candidates
  • Go to for all US related reward inquiries

HR Operations

  • Play a central role in the US People Operations team by exchanging knowledge and collaborating to ensure a seamless HR service to employees.
  • Be the employee point of contact for all short and long-term leaves
  • Revise Employee Handbook to reflect new changes in benefits and leave policies
  • Maintain records and ensure data is secure and managed consistently with privacy regulations

Qualifications

Skills and Experience

  • Previous accountability for managing and administering US benefits and rewards programs in firms/subsidiaries of 300+ people.
  • Previous role in HR operations
  • Experience as an individual contributor and comfortable managing both strategic oversight and detailed administration.
  • Fully versed in all benefits-related legislation and requirements for all US states
  • Excellent relationship builder with the ability to gain credibility at all levels of seniority across PA in the US and UK, with external stakeholders, and to work with teams in multiple geographies.
  • Excellent organisational skills, with the ability to support and manage multiple projects with competing deadlines.
  • Strong communications skills to explain and create enthusiasm for sometimes complex benefits at all levels and in all comms formats.
  • Meticulous attention to detail, confidentiality, and professionalism
  • Intermediate Excel skills to analyse data sets CBP, CRP, GRP and other rewards/benefits certification required.  SHRM certification desired.

Compensation range for this role is $90,000.00 - $130,000.00
