Developing a document management framework and handbook
The Dublin Transportation Office (DTO) was established in 1995 to co-ordinate the transportation agencies involved in the Greater Dublin Area and agree an integrated transport strategy for the area.
This means the DTO processes a large volume of varied documents and records. Since its inception, the office has had various ad hoc arrangements for document management, making the search and retrieval of information difficult and time consuming. In order to operate efficiently, the DTO needed to adopt an efficient and consistent document management approach.
PA Consulting Group worked with the DTO to review its document management processes and identify opportunities for improvements. PA then designed and implemented a document management framework that led to the consistent management of documents through changes in organizational behavior and individual habits.
The DTO quickly realized tangible improvements in organizational behavior and individual habits with regard to document management. The easier, faster retrieval of documents has helped the DTO in answering Freedom of Information requests and has improved its overall efficiency and effectiveness.
